Embroidery machine head with cones of thread in several colors for a custom design

Every embroidered logo starts as a stitch file, and that file decides how good the finished piece looks. Our custom embroidery design and digitizing service turns your logo, sketch or photo into a clean, stitch-ready file for one flat fee: $35, one time, per design. You preview every design live in our 3D Custom Designer before anything is stitched, and bulk orders of 100+ pieces get a free mockup from our team. Once the fee is paid, the digitized file is yours to download from your account. From there, our full-service embroidery shop stitches it on hats, polos, hoodies, jackets and more.

From Sketch, Logo or Photo to a Stitch-Ready File

You don't need an embroidery file, or even a finished logo, to get started. We work from whatever you have:

  • A vector logo from your designer or brand kit
  • A PNG or JPG pulled from your website or social profile
  • A photo of an old shirt, sign or business card
  • A hand-drawn sketch, a signature or a child's drawing
  • A photo of a pet or a person, for line-art portraits

The first decision is size. A logo meant for a 3.5-inch left chest and the same logo on a cap front, which can only be about 2.25 inches tall, need different treatment, so we start from where the design will be stitched. Then we simplify anything that won't survive in thread at that size, digitize it, and show you a mockup on your garment and color before production.

What Embroidery Digitizing Is and Why It Matters

An embroidery machine can't read a picture. It reads a set of instructions: where every needle drop goes, which stitch type to use, which direction the stitches run, when to change thread color and when to trim. Digitizing is the work of writing those instructions, and good custom embroidery digitizing is mostly a series of judgment calls:

  • Underlay: foundation stitches sewn first to stabilize the fabric and lift the top stitches so they look full.
  • Density: how tightly stitches are packed. Too dense and the design turns stiff and puckers the garment; too light and fabric shows through.
  • Pull compensation: thread pulls fabric inward as it sews, so shapes are widened slightly to finish at the right size.
  • Stitch direction: angles change how light hits the thread, which gives a design depth and keeps large areas from looking flat.
  • Sequencing: the order everything sews in, planned to minimize trims and color changes and to keep registration tight.

Automatic converters skip most of these decisions, which is why auto-digitized logos often come out with ragged edges, gaps between colors and lettering you can't read. The same logo also needs different settings on a pique polo, a stretchy performance tee, plush fleece and a stiff cap front, and we make those adjustments without charging digitizing again.

Flat and 3D Puff: Custom Digitizing Styles

Most custom embroidery designs use flat embroidery: satin columns for lettering and borders, fill stitches for larger shapes, and run stitches for fine outlines. It works on nearly every garment and handles detailed logos best.

3D puff sews satin stitches over a layer of foam, so letters stand up off the surface. It needs bold, simple shapes with wide columns and suits structured cap fronts best (we offer it on caps only); fine detail and thin lines flatten out. See 3D puff hat embroidery for caps built for it.

For big varsity-style back lettering or large kids' initials, flat stitching is the dependable choice; we offer 3D puff on caps only and don't offer applique, so ask when you order or request a bulk quote and we'll suggest the best stitched option for your design.

Clean Logos and Personalized Lettering: Rules That Stitch Well

Thread has a physical width, so a few rules decide whether a design reads clearly:

  • Letter height: keep text at least 1/4 inch tall. Script and fonts with fine serifs need a little more.
  • Line weight: satin lines need to be at least about 1 millimeter wide; anything thinner becomes a single run stitch or disappears.
  • Gaps: small spaces between shapes fill in, so leave at least a millimeter of breathing room.
  • Colors: each color is a thread change. Four to six colors usually tell the whole story on a branded logo.
  • Gradients and photos: these become stepped tones or clean line art. Soft fades and tiny photo detail don't translate to thread.
  • Negative space: letting the garment show through a knockout often looks cleaner than stitching a white fill.

Personalized names and monograms follow the same logic: block letters stay readable at small sizes, while scripts look elegant a bit larger. For a deeper walkthrough, read how embroidery designs are made, from first sketch to finished stitches.

Accepted Art Files and Stitch Formats

Art you can send:

  • Best: vector files, such as SVG or a vector PDF (AI and EPS files can be sent with a bulk quote)
  • Good: PNG or JPG at 300 dpi at the size it will be stitched
  • Workable: photos, screenshots, scans and sketches

Stitch formats: embroidery machines read their own file types rather than images. DST is the common commercial format, PES is used by Brother and Baby Lock machines, and EXP, JEF and VP3 belong to Melco, Janome and Husqvarna Viking/Pfaff machines. Your downloadable file is a DST made from the same digitizing we stitch from, and many embroidery programs can convert a DST to other machine formats.

Submit Art Online and Get a Mockup Proof

  1. Choose the garment and color you want stitched.
  2. Upload your art and note the size, placement and any thread colors you need matched.
  3. Design it live in our 3D Custom Designer.
  4. Review the mockup on your exact garment and request as many changes as you need before you approve.
  5. Approve it, and your design is digitized and stitched.

The mockup shows the design size in inches, the placement and the thread colors, so there are no surprises when the box arrives.

Turnaround, Revisions and Digitizing Fees

Fees: digitizing is $35, one time, per design, whether you order one piece or several hundred. Once it's paid, the file stays on your account and is yours to download. Reorders, and the same design on another garment, a cap or a different size, never pay it again; only a changed design needs a new fee. For comparison, our DTF printing has no setup fee, and screen printing (100+ pieces) carries a per-color setup fee that's also one-time per design.

Sizes: a stitch file can only be scaled about 10 to 20 percent before density and underlay need adjusting, so a logo needed at both left-chest and full-back size gets set up properly for each. That's covered by the original fee; the same design at a new size is never charged again.

Revisions: request changes to your mockup before you approve it, and the file is adjusted before anything is stitched.

Timing: simple text digitizes quickly; a detailed photo portrait takes longer. Share your in-hand date when you submit art and we'll confirm it before you approve. Rush orders are available, with the rush fee quoted with your order.

One File, Many Garments: Branded Hats, Polos, Jackets and Patches

A single left-chest file covers most of a branded wardrobe: polos, button-ups, hoodies, quarter-zips and soft-shell jackets, with small fabric adjustments. Caps get the same design set up to sew from the center outward and fit the curved front, with no second digitizing fee. That consistency is what makes a crew look like a brand, and it's the foundation for putting your logo on uniforms across every role.

Your digitized design can also leave the garment. If you want something that moves between bags, jackets and caps, turn your design into a patch with a sew-on, iron-on or hook-and-loop backing.

Frequently Asked Questions

What is embroidery digitizing?

Digitizing converts artwork into a stitch file an embroidery machine can follow. A digitizer decides every stitch type, direction, density level, underlay layer and color change, then sequences them so the design sews cleanly. It's the step that decides whether your logo looks crisp or messy, which is why it's done once, carefully, before production.

How much do custom embroidery digitizing services cost?

At BizzyStitchn, digitizing is a flat $35 one-time fee per design, regardless of how many pieces you order or how complex the art is. After it's paid, you can download the digitized file from your account, and reorders, or the same design on hats, other garments or a new size, are never charged again.

Can you digitize my logo from a JPG or PNG?

Yes. A JPG or PNG works well, especially at 300 dpi. A vector file gives the cleanest starting point, but it isn't required, because we rebuild the art stitch by stitch rather than tracing pixels. Sketches and photos work too; we simplify them for thread and show you a mockup first.

Do I own the digitized embroidery file?

Once the one-time $35 fee is paid, the digitized file is available to download from your account, so you keep a copy and can reorder without paying for digitizing again. Your artwork itself stays yours. The digitized file comes as a DST, which many embroidery programs can convert for other machines.

Do you offer digitizing online for other embroiderers in the USA?

Our digitizing is part of our embroidery service rather than a file-only service for other shops. Every design is digitized for production on the garments we stitch and decorate. That said, after the one-time $35 fee your file is yours to download from your account.

How long does digitizing take?

It depends on the design. Simple text and clean vector logos are quick, while detailed illustrations and photo-to-stitch portraits take more time to build and adjust. Share your deadline when you submit your art so we can plan your mockup and production schedule around it. Rush orders are available, with the fee quoted with your order.
