Where to Get Custom Patches Made, and How to Choose a Maker

Where to get custom patches made depends on how many you need and how exact they have to be. For anything from one patch to a few hundred, a decorator or online patch maker with no minimum and a free proof is usually the best fit. For many thousands of identical patches, a factory can be cheaper per piece, but it brings high minimums, longer waits and import costs. Print-on-demand platforms suit sellers who want patches shipped one at a time to their own customers.

Whichever route you choose, the same questions separate a good maker from a frustrating one. This guide walks through the options, the questions to ask, how to read a proof, and the red flags to walk away from.

Your Options for Getting Patches Made: Local, Online, Marketplace or DIY

Option Best for Watch out for
Local embroidery decorator Teams, businesses and groups that want to talk it through and pick up locally Not every embroidery shop makes patches; some only stitch directly on garments
Online patch maker Most orders, from a single patch to bulk runs Minimums, setup fees and proof policies vary widely
Print-on-demand platform Sellers who want each patch made and shipped as it sells Limited shapes, sizes and thread colors; higher per-piece cost
Marketplace seller Simple one-off designs and gifts Quality varies by seller; proofs and file ownership are often unclear
Overseas factory Very large runs of one design High minimums, long lead times, duties and communication gaps
DIY at home One personal patch, or learning the craft Needs an embroidery machine, digitizing software and practice

For a business, a club or a team, the first two rows cover most needs. A good decorator or patch maker can also put the same logo on shirts, hats and jackets, which keeps a brand consistent and avoids paying for artwork setup twice.

What the Best Patch Makers Have in Common

The best custom patches come from makers who do the unglamorous steps properly. Look for:

  • A proof before production. You should see size, thread colors, border and backing before anything is stitched, and nothing should be made until you approve.
  • Real digitizing. Embroidery needs a stitch file built by a trained digitizer. Auto-converted art shows up as loose, uneven stitching and lettering that fills in.
  • Honest setup terms. One clear setup fee, stated up front, and a straight answer about whether reorders pay it again.
  • Minimums that fit your order. If you need 12 patches, a 50-piece minimum means paying for 38 you don't need.
  • Several constructions and backings. Embroidered, PVC and leather patches, with sew-on, iron-on and hook-and-loop backing, so the maker recommends what suits your use instead of selling the only thing it makes.
  • Your file stays yours. Ask whether you can get a copy of the stitch file. It makes reorders and future decorating far easier.

Questions Worth Asking a Patch Maker

Send these before you pay anyone. The answers tell you more than a portfolio does.

  1. What's the minimum order, per design and per order?
  2. What setup fees apply, and do reorders or the same design on other products pay them again?
  3. What does the proof show, and is it free? A digital proof with dimensions and thread callouts is the standard.
  4. Can you match my brand or existing patch colors? Ask how thread colors are chosen and shown on the proof.
  5. Which borders and backings do you offer? Merrowed vs. heat-cut edges; sew-on, iron-on and hook-and-loop.
  6. When does the production clock start? At order, or at proof approval?
  7. Can you meet my in-hand date, and what does rush cost? Get the date confirmed in writing before you approve.
  8. Can I get the stitch file?
  9. What happens if the patches don't match the approved proof?
  10. Who do I talk to if something goes wrong? A named person or a ticket queue?

A maker that answers all ten clearly, before you've paid, is usually one that will handle problems well too.

Reading a Proof: Size, Thread Colors and Borders

The proof is your last chance to catch a mistake cheaply. Check each of these:

  • Size. Look for the finished dimensions in inches. If you can, print the proof at 100% scale and hold it against the hat, sleeve or jacket where it will go.
  • Spelling and dates. Read every word out loud, including mottos, names and years. This is the most common error on reunion, memorial and personalized patches.
  • Thread colors. The proof should list each thread color. Screens shift color, so compare the callouts against your brand colors or your old patch, not just against your monitor.
  • Small text. Lettering under about 1/4" tall tends to fill in. If the proof shows tiny type, ask for it larger or simplified.
  • Coverage. At 50% or 75%, the twill shows through as the background color. Make sure that background color is the one you want.
  • Border. A merrowed border is a raised, rolled edge on smooth shapes; a heat-cut edge follows detailed outlines exactly.
  • Backing. Confirm sew-on, iron-on or hook-and-loop. A patch for a nylon jacket or a leather vest should never arrive iron-on only.

If anything looks off, ask for a revised proof. Approving a proof "close enough" is how people end up with 200 patches that are close enough.

Branded Bulk Orders vs. Personalized One-Offs

The best place to order custom patches changes with the job.

For branded bulk orders (company logos, uniform programs, merch and team sets), price per piece and consistency matter most. Favor a maker with clear quantity pricing, one-time setup, the ability to reorder months later and get a match, and the option to decorate shirts and hats with the same file. Ask how the order will be packed if patches are going to different locations or into kits.

For personalized one-offs (a gift, a memorial, a pet portrait, a single jacket patch), no minimum is the deciding factor. The setup fee is a bigger share of the total on one patch, so ask what it is before you start, and whether ordering a spare costs only the patch price.

Red Flags: Hidden Fees, No Proofs and Vague Lead Times

Walk away, or at least ask hard questions, if you see:

  • No proof, or a paid proof. You should never have to approve production blind.
  • Fees that appear at checkout. Setup, color, backing and shipping charges should be visible before you commit.
  • "Ships fast" with no date. A good maker confirms whether your in-hand date works before you approve.
  • A setup fee every time you reorder the same design, with no clear reason.
  • No answer about file ownership. If the maker won't say whether you can get your stitch file, assume you can't.
  • Prices that look too good. Very low prices often mean thin twill, sparse stitching or minimums hidden in the fine print.
  • Copying another brand's logo without a question. A careful maker asks whether you have rights to reproduce trademarked artwork.

How We Handle Patch Orders

We offer embroidered, PVC and leather patches, with sew-on, iron-on and hook-and-loop backing, and here's how our answers to the questions above work out:

  • Minimum: none on embroidered patches, from one patch to a thousand; PVC and leather minimums vary by type.
  • Proof: you'll see your design in our 3D Custom Designer before anything is produced.
  • Setup: embroidered designs carry a one-time $35 digitizing fee per design, and the stitch file is then downloadable in your account. Setup fees are one-time per design: reorders, and the same design on other products, never pay them again; only a design change needs new setup.
  • Files: SVG or PDF is best; a high-resolution PNG or JPG is accepted, and so is a sketch. AI and EPS files can be sent with a bulk quote.
  • Timing: the schedule starts when you approve the mockup. Rush orders are available for a fee quoted with your order; tell us your in-hand date and we'll confirm it before you approve.
  • Delivery: every order ships anywhere in the US, and Orlando-area customers can pick up finished orders at our Orlando-area warehouse.
  • Garments: we decorate the shirts, hats and jackets we supply, so your patches and your branded apparel can come from one order. We don't decorate garments customers send in.

If you're in the Orlando area, you can pick up finished patches at our Orlando-area warehouse. When you're ready, start your patch order and send your art or idea.

Frequently Asked Questions

How do I get patches made from my own design?

Send your artwork to a patch maker along with the size, shape, backing and quantity you want. SVG or PDF files work best, and a high-resolution PNG or JPG is fine; AI and EPS files can be sent with a bulk quote. The maker digitizes embroidered designs into a stitch file, sends a proof for approval, then produces and ships the patches. A sketch or a photo of an old patch is enough to start.

What's the best place to order a small number of patches?

Choose a maker with no minimum and a free proof, so you only pay for the patches you need and still see the design first. Ask about the setup fee, since it's a bigger share of a small order, and whether reorders pay it again. Our no-minimum patch orders start at a single embroidered patch.

Is it cheaper to order patches overseas?

Per piece, sometimes, for very large runs of one design. But overseas factories usually have high minimums and longer lead times, and since the US suspended duty-free de minimis entry for all countries in August 2025, even small shipments can owe duties and brokerage fees. Compare the total delivered cost, not the per-piece quote.

How long should a patch order take?

It depends on the construction, quantity and the maker's schedule, so ask for a confirmed date rather than a range. A trustworthy maker tells you when the clock starts, usually at proof approval, and whether your in-hand date works before you pay. With us, rush orders are available for a fee quoted with your order; tell us your in-hand date and we'll confirm it before you approve.

Can I pick up a patch order in the Orlando area?

Yes. Orlando-area customers can pick up finished orders at our warehouse, or we'll ship anywhere in the US. We confirm a pickup time when the order is ready, which is handy for teams and businesses collecting patches and branded apparel together.
